Kata 2 - Communication: Analysis and reflection

The next 3 Katas deal with the topic of communication. By definition, collaboration takes place between different people. Communication is the way we connect with the people around us and exchange information. Communication and collaboration are fundamentally linked -- and strong communication is a prerequisite for effective collaboration.

Here it is particularly important to avoid frustration and stress by optimizing your communication. It is also helpful to select the appropriate channels/tools to enable fast and effective collaboration with internal and external parties. All with the aim of optimizing your handling of incoming communication.

In this Kata, we start by analyzing and reflecting on your communication.

Preparation (individual work)

  • Read the Kata "Analyze and reflect on your communication" (see below) and do the exercises.
    Tip: You will always find the task text for the Kata after the agenda.

Agenda (circle/group work)

  • Check-in: (10 minutes)
    What has been on your mind this past week in relation to digital collaboration?
    Two-minute timebox per Circle member.

  • Main topic: (45 minutes)
    Present your results and findings from Kata 2 - Analyze and reflect on your communication (below) to each other and share them.

  • Check-out: (5 minutes)
    What will you do before the next meeting?

Kata "Analyze and reflect on your communication!"

  • To prepare, read through the basics in the "Cooperation" theory:

  • Which communication channels do you already use, which do you know, but don't use?

  • Look through your communication channels!

    • Which communication works well / which creates stress?

    • Which message/information arrives where?

    • When/how do you need the information?

    • Can you find the information quickly/easily?

    • What annoys you?

      • e.g. invitation to meeting without agenda, CC mail to all
    • What are your needs?

    • Check your expectations: What helps you? What can you change?

    Tip: Be careful not to do the things that annoy you when communicating with others.

  • Create a list of all the channels you use so that you can then create a shared list in the Circle.
